About Admiral Pioneer

Admiral Pioneer is a new business within Admiral Group with the objective of seeding, launching, and scaling new businesses that will become one of the growth engines for Admiral in the future. These new businesses will anchor around meeting customer needs in growth areas. Admiral Pioneer is now looking for a Personal Assistant to support the Leadership Team with administrative duties. This is a great opportunity to join an exciting new area in a varied role.

Main Duties:

  • Diary management and admin support for Admiral Pioneer CEO.
    • The CEO represents Admiral Pioneer in multiple forums across the Admiral Group both in the UK and internationally. As the business grows, the CEO will also increasingly attend and organise external meetings (in person and via video conference), requiring a high level of flexibility and coordination to meet the often-competing priorities.
    • Other administration tasks could include:
      • Answering calls or emails when required, on behalf of the CEO
      • Arrange travel and accommodation when required
      • Be prepared to challenge the status quo if needed and make suggestions for improvement – especially for our external customers
      • Co-ordinate and minute internal and external meetings as requested
      • Prepare and distribute board packs and other meeting information or presentations
  • Providing comprehensive administrative support to the wider team, such as supporting internal and external team meetings.
    • The Admiral Pioneer Leadership Team will be largely self-sufficient in individual diary management but will need support to orchestrate team meetings and wider forums across the group and with external stakeholders.
  • Organising events such as virtual workshops and other internal / external showcases of Admiral Pioneer work.
    • There will be a need to coordinate these meetings at least once per month, typically requiring the attendance of external guests
    • Also, the Leadership Team will want to arrange social ‘get-togethers’ within their team and with the broader businesses (e.g. Veygo), so the successful candidate will require a degree of creativity in the selection of activities and venues.
  • This role will also involve supporting the wider team with administrative tasks and other projects.

The Admiral Pioneer Leadership team includes the CEO, CFO, COO, and two Product CEOs. This team will increase to around eight people over the next twelve months. The team will be based in Cardiff but will have a high degree of virtual working and hence require a balance of in-person and virtual support.

Skills and Experience Required:

  • At least 3 years of experience in a similar PA or administration role
  • Experienced at supporting and communicating with senior individuals and external stakeholders, maintaining a professional manner at all times
  • Proactive approach to administration – spotting issues / problems before they arise, and can anticipate opportunities to support the CEO and the wider team
  • Able to identify issues quickly and come up with effective solutions
  • Excellent organisational and prioritisation skills
  • Commercial and regulatory awareness
  • Flexibility to support the changing workload of the department and managers, and a willingness to work outside of core hours when necessary
  • Advanced knowledge of Microsoft Office
  • High level of attention to detail and accuracy when producing work
  • Excellent communication skills, both oral and written
  • Confidentiality and discretion
