About the Department

Admiral IT has a long history of supporting the business to innovate and bring new products to market. The department continues to build on top of and around the core systems to bring more innovation and technical excellence, including Cloud adoption, big data technologies and furthering our digital offerings.  The Agile Portfolio Management Office (APMO) helps to support and deliver the vision, through facilitating Tribe Leadership to make informed decisions and aid the Tribe teams to deliver high quality changes using lean governance.

About the Role and Challenges

We’re looking for someone who enjoys working in a hands-on Agile PMO role with a passion for supporting the delivery of change, whilst keeping things Lean and fast-paced.  You will work closely with both agile tribes and tribe leadership, supporting their agile ceremonies and tribe governance processes, such as quarterly business reviews, OKRs and planning sessions.   You will also manage and track the tribe's budgets (actuals and forecasted) and other key metrics.

You will be joining the team at an exciting time, in the early stages of mobilisation, there is plenty of opportunity to shape and grow the APMO function.  You will be encouraged to identify opportunities and process improvements, whilst coaching fellow team members to adopt new ways of working.

You’ll be reporting to the APMO Lead, assisting them to embed Lean Portfolio management in the APMO team.

Your Responsibilities

  • Facilitate key ceremonies and process in the scaled agile framework, such as business review meetings, Objectives and Key Results Handshake process (OKRs), Guardrail Agreements
  • Assume ownership of a number of Tribes and embed into their day-to-day operations (facilitate setting up cross tribe ceremonies)
  • Facilitate the monthly Tribe Planning sessions for all Tribes
  • Facilitate weekly/bi-weekly cross-tribe Portfolio Sync and Portfolio checkpoint sessions for all Tribes
  • Track the budgets for the Tribes and manage any requests/business cases to change the Tribe sizing
  • Manage cross-tribe dependency tracking
  • Track Tribe key metrics agreed by tribe Leadership
  • If needed, perform any project categorisation of Tribe backlog items based on the Gold, Silver and Bronze category
  • Support any PMO interactions with the wider business
  • Provide quality information on tribe progress to the Portfolio Office
  • Share the Agile principles and culture in the APMO and work continually to improve the tools and templates used by the team
  • Coach, mentor and support team members
  • Drive collaboration and continuous improvement mind-set within the APMO team
  • Drives transparency and openness of communication in the APMO Team

What We Are Looking For

As you’ll be working within a newly mobilised APMO you will have solid experience in a hands-on agile role with lean portfolio management.  You will have a good background in agile practices and ways of working including understanding of tribe budgeting and tracking finances, cross-tribe dependency management and tribe planning.

You will have experience of translating business objectives into user stories, setting up tribes/agile teams. You will be comfortable using tools such as Jira, Confluence, Project Online and PowerBI.

You will also have excellent facilitation skills and an ability to influence others towards a common goal.  To achieve this, you will have both very good communication skills, written and verbal and be an active listener.

You will also be passionate about people and motivating them to achieve their full potential and be pro-active in seeking out solutions to issues. 

You will work closely with and provide support to the APMO Lead to shape, drive and deliver the strategy for the team.
