Job Purpose:

The Portfolio Office sits across all change activity within Admiral’s UK Insurance Business (EUI). It is responsible for enterprise level reporting and setting standards and processes for all change activity. The Portfolio Office provides clarity on all project work being undertaken by the UK Insurance business, detailing why those projects exist, what benefit they bring and what they cost. This will result in better oversight and control, so we focus on the projects that give the biggest benefit to the business and on doing them well. It will enable us to execute our most important changes more quickly.

The Portfolio Office has matured its services over the last six months and will continue to do so in 2021.  We are looking for someone to join our team who has expertise and experience in identifying, tracking, and reporting financial and non-financial benefits that apply to projects, programmes, and portfolios. With the support of your team, you will be introducing and developing a benefits management framework that establishes key processes and defines minimum standards to ensure a sustainable approach to achieving benefits and outcomes for all projects and programmes.

The successful candidate will have proven experience designing benefits management frameworks, along with significant experience in benefits management and realisation. You must have previous experience working within a PMO environment. The role requires a proactive, self-confident individual willing to engage, network and continue to develop their own expertise.

Main Duties:

  • Set up and track portfolio, programme and project data metrics and key performance indicators, providing real-time access to data.
  • Report on portfolio performance status in a timely and accurate manner.
  • Analysing project data to provide recommendations, trend information, identify issues and gaps.
  • Provide data-driven insights for planning and forecasting.
  • Support the implementation of a benefits management framework.
  • Facilitate the process to ensure Business Cases and Lean Business Cases are created when required and fed into the Business Case Working Group.
  • Provide ongoing Business Case assurance to ensure expected business value is being delivered against strategy.
  • Manage the benefits realisation activity, triggering actions for benefit owners and reporting back on outcomes.
  • Define and maintain portfolio governance arrangements, including ToRs and memberships.
  • Drive continuous improvement of delivery practices to increase maturity and capability and update use of standards, processes and tools accordingly.
  • Define, maintain, share and implement delivery standards, processes and tools.

Other PMO responsibilities:

  • Analysis and annual reviews of Portfolio Office standards and processes.
  • Provide secretariat support at Portfolio level governance forums
  • Review Project documentation.
  • Organise and chair post implementation reviews.
  • Analyse lessons learned to identify common themes and drive actions for continuous improvement.
  • Maintain and manage a lessons learned log.
  • Review and maintain standard Project Documentation according to Admiral Project Management Guidelines.
  • Provide support and identify ways to further improve the Enterprise Project Delivery Framework.
  • Define minimum viable data standards and track data quality KPIs against them.
  • Undertake iterative support interventions to improve data quality.

Experience and Qualifications Required:

Essential:

  • Excellent communications skills, both written and verbal, are essential.
  • Strong analytical skills and experience turning data into insights.
  • Excellent understanding of PMO procedures, including supporting both waterfall and fast-paced agile environments.
  • Experience of Programme or Portfolio reporting.
  • Understanding of financial and resource management processes and data.
  • Experience in Project and Programme planning.
  • Experience of working with budgets.
  • Excellent time management skills and working to deadlines.
  • A good working knowledge of Word, Excel, Visio, Outlook, PowerPoint and MS Project.

Desirable:

  • Commercially aware.
  • Experience of working in multifunctional team environments.
  • P30, APMP qualifications.
