"Having gone through a recent organisational refresh and alignment, the newly formed Data Tribe supports the ongoing evolution and implementation of our Data Strategy and brings together several key data, product and delivery hub functions, which includes; Data Assurance, Data Architecture, Data Delivery & IT Integration, Data Science & Analytics and Management Information (supporting operational reporting, Insights & Business Intelligence our EUI Business)
The Data Assurance team includes; Data Governance, Data Management, Data Confidentiality Assurance, Data Quality Management, Data Retention & Deletion and Information Risk as core components and service areas.
Do you want to help Admiral with our records management requirements and help provide assurance to our customers and organisation about how and where personal data is stored? We want to focus our efforts on reducing risk of data loss, ensure we are efficient with data storage, retrieval and ensure data minimisation is practiced and supported across the organisation.
The Records Management Operations Lead supports the Head of Data Assurance, the wider team and business data domains seeking to help our business protect the rights of individuals for whom we hold personal data. We do this by minimising and treating the data we collect and hold, to ensure compliance with regulation, law and internal policies.
This role leads the operations and analysis work covering our Data Minimisation and Data Retention – Records management objectives. Driving to identify where our Personal Data is stored across our data repositories is a key aspect of this role with a focus on embedding and rolling out ‘Data Discovery as a BAU enduring service’. Working alongside IT, Data Governance, Data Protection Office, and business operations teams from across the business, you’ll gain a good understanding of how our data is being used.
Main Duties
- Own operation of and reporting from the Data Discovery tool
- Work to develop a roadmap for exploiting and optimising the main capabilities of our Discovery tool that can be embedded into our service capability, considering:
- What should we be scanning? How frequently? Looking for what? Why?
- What other capabilities of BigID could we be utilising? What value does this add to our organisation?
- Develop a front door process and associated processes for the ongoing running of the tool and use of the tool by areas outside of Data Assurance (providing “Data Discovery as a Service” to the organisation)
- Analyse data output from Data Discovery tooling inc. insightful reporting and KPI’s
- Present findings and recommendations to a wide stakeholder audience
- Train and guide team members and grow the team’s technical ability
- Lead on collation and continuous improvement of retention schedules
- Support identification and analysis of Personal data repositories across EUI data estate
- Analyse data content from across EUI estate to provide insightful reporting relating to Data Minimisation
- Promote data retention and its importance across the business
- Support relevant Business and Data Working Groups to share experience and expertise
- Through effective engagement and partnering with colleagues across the business, ensure a culture of safe, responsible and ethical use of data, whilst maintaining appropriate freedom to innovate and experiment
What we are looking for
We are looking for someone who is passionate about data and who understands the importance of its uses within the business. We are looking for someone who has previous experience administrating and utilising BigID (or a similar file/data classification tool) to support the identification of personal data in structured and unstructured sources and aid in identifying and supporting the reduction of data risks across an organisation.
You will be both technically minded, being able to drive the setup and configuration of the tool, but also strategically minded. Ideally suiting someone who has experience working within Data Analysis and who has an understanding of GDPR regulation and broader data governance principles.
- You have a natural ability to problem solve and you actively seek out solutions and improvements
- You are confident in making suggestions when you see there is a better way to do something
- You are resilient in the face of opposition or resistance
- You are happy to share your experience and knowledge with team members to support continuous improvement of the whole team
- You are comfortable working with and sometimes challenging senior stakeholders
- You may have a background of working in IT and/or data analytics (although this is not essential)
- Working knowledge of SAS, SQL, Microstrategy and Big ID is an advantage

Location
We are open to discussion around remote working possibilities (UK only). Our whole business is working in a hybrid mode (2 days at the office per week) but we do offer flexibility depending on your location. Please do not hesitate in querying this with the Recruitment Officer if needed.
