We are seeking a highly organised and proactive individual to join our Admiral Money Mortgages team as a Team Assistant.

About Admiral Money

Admiral Money is an exciting, new division of Admiral Group. We have the freedom and innovation of a small start up with the security of a large parent company, Admiral. 

The journey started when we launched unsecured personal loans in June 2017. We went on to be the first direct to consumer car finance provider in December 2017. Since then, we have gone from strength to strength and have some exciting plans for the future.

We’re looking for people who are keen to learn, excited about getting stuck in and are ready for a challenge to help us to achieve our aim of creating a special lending business for our customers. 

The Role

This role extends beyond the normal remit of a Team Assistant, you’ll be at the very heart of the mortgages team and play a crucial role in the smooth running of the department and in bringing to life the Admiral Mortgages culture. You will provide crucial support to the Mortgages team to ensure the smooth running of the operation. Your role will be instrumental in building the team culture, maintaining effective communication and coordination within the team, as well as engagement with external stakeholders and clients.

Key Responsibilities

Administrative Support:

  • Manage calendars, schedule appointments, and coordinate meetings and events.
  • Prepare and organise documents, presentations, and reports for internal and external distribution.
  • Handle travel arrangements, accommodation, and other logistics as needed.
  • Assist with internal or external correspondence and communications.
  • Manage visitor logistics and greetings
  • Support resolution of all equipment queries and run the new joiner / onboarding process
  • Own all meeting, conference and event planning
  • Support resolution of office space and meeting room needs
  • Support the team with engagement in Admiral company events
  • Support the Colleague Engagement and wider People Services teams in with whatever is needed to keep the office running smoothly

Communication and Coordination:

  • Serve as a central point of contact for the team, coordinating team events and in office activities.
  • Facilitate collaboration among team members, ensuring effective communication through various channels.
  • Coordinate and track tasks assigned to team members, ensuring timely completion.
  • Assist in maintaining and updating team contacts, and other relevant records.
  • Manage office supplies and equipment for the Mortgages team
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site Intermediary activities, events and conference
  • Arrange the distribution of literature, material and ad hoc items to broker partners

Skills and Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Excellent organisational and time management skills with the ability to multitask and prioritise effectively.
  • Strong written and verbal communication skills, with attention to detail.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong interpersonal skills to collaborate effectively with colleagues and stakeholders at all levels.
  • Adaptable and resourceful, with a proactive and problem-solving mindset.
